Step 1

Open Profile & Preferences

Click your avatar in the top right corner of HubSpot and choose Profile & Preferences from the menu.

Go to the Email settings

In the General section, select the Email tab and find the Signature area. In some accounts it sits behind a Configure heading.

Click Edit signature

The editor opens with two modes: a simple rich text toolbar and an HTML view for pasting real markup.

Switch to HTML and paste

Choose the HTML option and paste the raw code from your generator. The preview updates as you go, so you can confirm the table layout renders before committing.

Save and send a test

Click Save, open any contact record, and send yourself a one-to-one email. The signature should appear at the bottom exactly as previewed.

Two editors, one right choice
The simple mode is fine for a plain text sign-off, but it cannot reproduce a table-based layout. Switch to the HTML option and paste markup with inline styles to get the branded version through cleanly.
Know what the signature covers
This signature attaches to one-to-one emails sent from HubSpot: contact records, the conversations inbox, sequences, and templates. Marketing emails use their own footers, and mail sent directly from Gmail or Outlook uses that client's signature.
Watch for double signatures
If a template already contains a pasted signature and the token as well, or you type one manually into the body, recipients see it twice. Pick one mechanism, ideally the token, and strip signatures out of template bodies.
Tokens scale across the team
Shared templates with the signature token let each rep's saved signature fill in automatically. Pair that with a common design standard and the whole sales team sends matching, personalized signatures.
Images must be hosted
